This Privacy Policy explains the types of personal data we collect and how we collect, use, disclose, store, transfer, and protect such personal data in accordance with applicable data protection laws in the United Arab Emirates and the Kingdom of Saudi Arabia.

By using our services, submitting personal data to us, or otherwise interacting with us through any channel, you acknowledge that your personal data will be processed in accordance with this Privacy Policy.

2. Data Controller

For the purposes of applicable data protection laws, the relevant TBP entity acting as the data controller will be the entity with which you interact or that determines the purposes and means of processing your personal data. Contact details for the relevant TBP entity are set out in the Contact Us section at the end of this Privacy Policy.

References in this Privacy Policy to the “TBP Group” mean TBP’s parent company and its affiliated or trading subsidiaries, where such references are lawful and necessary for operational or business purposes.

3. Personal Data We Collect

When you access our website, platforms, or systems, we may automatically collect technical information such as IP address, device and browser types, operating system, log data, access times, and aggregated website usage analytics.

d. Device and Location Data

Device identifiers and approximate location information derived from your IP address.

e. Sensitive Personal Data

TBP does not intentionally collect sensitive personal data unless required by applicable law or strictly necessary for recruitment, compliance, or contractual purposes. Where processed, such data is subject to enhanced safeguards and handled in accordance with applicable legal requirements.

4. Purpose of Processing

We collect, use, and disclose personal data only where necessary and lawful, for the following purposes:

  • to provide recruitment, staffing, consultancy, and related services;
  • to manage and maintain relationships with candidates, clients, business partners, and users of our website and platforms;
  • to enable submission of CVs, applications for specific roles, and subscriptions to job alerts or similar services;
  • to assess, match, and recommend candidate profiles for suitable roles and, where relevant, share candidate information with clients in connection with specific opportunities;
  • to retain candidate information and notify individuals of future opportunities, subject to applicable legal requirements;
  • to communicate with users, respond to enquiries, and provide updates or support;
  • to send job alerts, industry updates, and business communications, with appropriate opt-out mechanisms;
  • to operate, administer, secure, and improve our websites, systems, platforms, and user experience;
  • to fulfil contractual, legal, and regulatory obligations;
  • to work with trusted third parties and affiliated entities to provide services efficiently; and
  • to protect the security, integrity, and lawful interests of TBP, including fraud prevention and enforcement of legal rights.

5. Legal Basis for Processing

TBP processes personal data based on one or more lawful bases, as applicable:

  • contractual necessity;
  • legal obligation;
  • legitimate business interests, where such interests do not override your rights; and
  • consent, where required by law or specifically requested.

6. Recruitment and CV Data

You may submit your CV directly to TBP or through third-party recruitment platforms. Your CV and recruitment data will be:

  • stored securely in TBP’s recruitment systems;
  • accessible only to authorised TBP personnel;
  • shared with clients solely in connection with specific opportunities; and
  • retained for future opportunities unless deletion or restriction is requested, subject to applicable legal requirements.

You may update your CV at any time by submitting a new version. Previous versions may be archived for record-keeping, compliance, or audit purposes.

7. Use of Artificial Intelligence (AI) and Automated Tools

We use Artificial Intelligence (AI) in limited and controlled ways to support recruitment and business operations. AI-enabled tools may assist recruitment processes; however, all candidate selection decisions involve human review.

AI tools may be used for:

  • automated CV matching and job recommendations through our Job Match tool;
  • semantic search and ranking of CVs based on defined criteria;
  • drafting job advertisements, pseudonymising CVs via third-party providers using OpenAI technology, and transcribing internal meetings through platforms such as Microsoft Teams; and
  • monitoring communications within our CRM for compliance purposes, including identifying inappropriate or unprofessional content.

Third-party service providers supporting these tools process personal data only on TBP’s instructions and are subject to contractual confidentiality and data protection obligations and are not permitted to use such information for any third-party training. Limited access may be permitted for technical support or system maintenance, subject to appropriate safeguards.

8. Sharing of Personal Data

a. Clients

We may share personal data with clients for recruitment-related purposes, subject to confidentiality obligations, and provided that the client undertakes to comply with applicable data protection laws and regulations.

b. Trusted Third Parties

We may share personal data, and where necessary sensitive personal data, with trusted third parties engaged to provide services requested by you or our clients, including employment and reference checks, qualification verification, criminal background checks (where required by law), and skills assessments.

We may also share personal data with third parties providing services on our behalf, such as professional advisers, data analytics providers, IT and system service providers, and operational support service providers.

All such parties are required to meet appropriate confidentiality and data protection standards. TBP does not exchange, trade, or sell any of this information to any third party without your prior consent.

c. Regulatory and Law Enforcement Authorities

Personal data may be disclosed to regulatory bodies or law enforcement authorities where required or permitted by applicable law.

d. Corporate Transactions

In the event of a merger, acquisition, or transfer of our business, personal data may be shared with the new owners and their advisers, subject to appropriate safeguards and notification where required.

9. International Data Transfers

Personal data may be stored or processed in the United Arab Emirates, the Kingdom of Saudi Arabia, or other jurisdictions where TBP, its affiliates, or service providers operate. Where international transfers occur, TBP implements reasonable and lawful safeguards in accordance with applicable data protection laws.

10. Data Retention

Personal data is retained only for as long as necessary to fulfil the purposes set out in this Privacy Policy, including legal, regulatory, contractual, and operational requirements. Where there is no ongoing legitimate business need, personal data will be deleted, anonymised, or securely isolated until deletion is possible.

Where candidate data is shared with clients, clients act as independent data controllers and are responsible for informing candidates if they intend to retain CVs for future opportunities or other purposes.

11. Data Security

We maintain appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration, or disclosure. However, no electronic transmission or storage system can be guaranteed to be fully secure.

12. Personal Data Breach Notification

Where required by applicable law, including the Saudi Personal Data Protection Law, TBP will notify the relevant regulatory authority (including the Saudi Authority for Data and Artificial Intelligence (SDAIA)) and affected individuals within legally prescribed timeframes if a personal data breach occurs.

13. Your Rights

Subject to applicable data protection laws, you may have certain rights in relation to your personal data, including rights of access, rectification, erasure, restriction or objection to processing, withdrawal of consent, and data portability where applicable. Requests may be subject to identity verification and legal limitations. We do not discriminate against individuals for exercising their rights.

14. Marketing Communications

To subscribe to job alerts, you must provide your name and email address (and/or other contact details, where applicable). We will only send job alerts and related marketing communications where you have explicitly opted in (i.e., provided your consent). Communications may be sent through email, WhatsApp, SMS, Instagram, and Facebook.

You may opt out at any time through the relevant channel (e.g., the unsubscribe link in emails or equivalent opt-out functionality) or by contacting us through the same channel. Opting out withdraws your consent for future communications and does not affect any processing carried out before you opted out.

Job alerts may be sent by TBP (UAE) or another TBP group entity, and personal data may be accessed or processed across jurisdictions solely for this purpose.

15. Third-Party Websites and Platforms

Our websites and communications may contain links to third-party platforms. TBP is not responsible for the privacy practices of such third parties, and you should review their privacy policies separately.
